Information we collect

  • Name, date of birth, contact details and parent or guardian details where relevant.
  • Membership applications, approvals, access status and booking records.
  • Payment status and transaction references. We do not store full card or bank-account details.
  • Communications, support requests and information you choose to provide for safety or accessibility.
  • Basic technical and security information needed to operate and protect our websites and systems.

How and why we use it

We use personal information to assess applications, administer memberships, provide approved access, manage bookings and payments, communicate with you, keep appropriate business records and protect members, visitors and TFP. Our lawful bases include taking steps before and performing a contract, complying with legal obligations, our legitimate interests in running a safe and effective facility, and consent where it is required.

Who we share it with

We use trusted service providers for payment processing, Direct Debit, website hosting, databases, email and technical support. These may include Stripe, GoCardless, Cloudflare and Supabase. We share only what is needed for the relevant service, or where disclosure is required by law. Independent personal trainers and practitioners control the information they collect for their own clients.

How long we keep it

We keep information only for as long as it is needed for the purpose for which it was collected, including legal, accounting, safety and dispute requirements. Financial and contractual records are normally retained for up to six years after the relevant relationship or transaction ends. Other records are reviewed and deleted sooner where they are no longer required.

Your rights

Depending on the circumstances, you may ask us for access to your information, correction, deletion, restriction, portability or to object to particular uses. Where we rely on consent, you may withdraw it. Contact us using the email above. You may also complain to the UK Information Commissioner's Office at ico.org.uk.

Cookies and similar technology

Our websites currently use essential technology needed for security, navigation and reliable operation. We do not currently use advertising cookies. If we introduce non-essential analytics or marketing cookies, we will explain them and request consent where required.
